Front Desk Executive

Job ResponsibilitiesGreet and welcome visitors, clients, and vendors with warmth and professionalism.Manage incoming calls, emails, and correspondence, ensuring prompt redirection to the concerned department.Maintain visitor logbooks and issue visitor passes as per security protocols.Handle scheduling of meeting rooms, appointments, and conference calls.Support HR/Admin team with front-desk-related documentation and coordination.Ensure the reception area is tidy, presentable, and equipped with necessary stationery/materials.Manage courier, mail, and package distribution efficiently.Assist in coordinating internal events, employee onboarding support, and office activities.Provide general administrative and clerical support as required.Act as the first point of contact for employees and guests, ensuring a smooth flow of communication.Technical Skills RequiredProficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).Knowledge of handling office equipment (printers, scanners, telephones, video conferencing systems).Familiarity with Google Workspace (Gmail, Calendar, Drive) is preferred.Basic knowledge of record-keeping and office management systems.Ability to manage scheduling tools and appointment calendars.Exposure to HRMS or attendance software will be an added advantage.Non-Technical Skills RequiredExcellent verbal and written communication skills.Strong interpersonal skills with a pleasant and approachable personality.Professional appearance and positive attitude.Ability to multitask, prioritize, and manage time effectively.High level of patience, empathy, and customer service orientation.Attention to detail and problem-solving ability.Strong sense of responsibility, confidentiality, and integrity.Willingness to learn and take initiative in day-to-day operations.
